1. Who we are

Mándalo is a service of Red Dog Road, Inc. (“Mándalo,” “we,” “us”). This policy covers our website at mandalo.ai and the Mándalo service, including the phone numbers and WhatsApp accounts you text, the messages we send, and the payment links we create.

2. Information we collect

From businesses that use Mándalo and their team members

• Contact details: name, mobile number, email address, business name, and business address.
• Business records you create through Mándalo: price lists, clients, service properties, quotes, jobs, schedules, invoices, payments, expenses, and notes.
• What you send us: text messages, voice notes, photos, and files, along with the transcriptions and translations we make of them.

About the clients of those businesses

• Information a business or its clients provide to Mándalo: names, phone numbers, email addresses, service addresses, job details, messages sent to the business’s Mándalo number, and payment status.

Payments

• Card and bank payments are processed by Stripe. We receive limited information such as the amount, status, and payment method type. We do not receive or store full card numbers or bank account numbers.

Technical information

• Service logs such as IP addresses, timestamps, device and browser type, and message delivery status, which we use to run, secure, and troubleshoot the service.
• Our website does not use advertising cookies or third-party analytics.

3. How we use information

• To provide the service: transcribe and translate messages, draft quotes and invoices, keep schedules, send messages a business has approved, and create payment links.
• To communicate with you about your account, support requests, and changes to the service.
• To keep the service secure, prevent fraud and abuse, and meet legal obligations.
• To fix and improve the service. When we review conversations to do this, we limit access to the people who need it.

4. Artificial intelligence

Mándalo uses AI models, including Anthropic’s Claude through Amazon Web Services, to transcribe voice notes, translate between English and Spanish, and draft quotes, invoices, and replies. Our AI providers process this information only to provide the service to us, and our agreements with them do not allow them to train their models on it. Messages that a business sends to its clients are drafts until the business approves them, unless the business turns on automatic sending for a specific kind of message.

5. How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only:

• With service providers that run parts of the service for us, under contracts that limit their use of it: Amazon Web Services (hosting and AI access), Anthropic (AI models), Twilio (text messages and calls), Meta (WhatsApp), Stripe (payments), and Google (email).
• Between a business and its own clients and team, as needed to provide the service (for example, a quote sent from a business to its client).
• When required by law, or to protect the rights, safety, and security of our users, the public, or Mándalo.
• As part of a merger, acquisition, or sale of assets, in which case this policy continues to apply to the information transferred.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Text messages

We send text and WhatsApp messages only to people who have agreed to receive them. Reply STOP to stop messages from a number, or HELP for help. We keep records of consent and opt-outs so we can honor them. Our SMS Terms describe the messaging program in detail.

7. Information we handle for businesses

When we process information about a landscaping business’s clients, we do so on behalf of that business and according to its instructions. If you are a client and have questions about your information, you can contact the business directly or write to us at support@mandalo.ai and we will help.

8. How long we keep information

We keep information while an account is active and as needed to provide the service. When a business closes its account, we delete or de-identify its information within 90 days, except where we must keep it longer to meet legal, tax, or accounting requirements or to resolve disputes. Backups are kept for up to 35 days.

9. Security

We encrypt information in transit and at rest, limit access to the people who need it, and log access to our systems. No method of storage or transmission is completely secure, so we can’t guarantee absolute security, but we work to protect your information and will notify you of a breach as required by law.

10. Your choices and rights

• You can ask to access, correct, export, or delete your personal information by writing to support@mandalo.ai.
• You can stop text messages at any time by replying STOP.
• Depending on where you live, you may have additional rights under state privacy laws. We honor these requests for everyone, wherever they live, and we won’t treat you differently for making one.

11. Children

Mándalo is a service for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.

12. Where we process information

We store and process information in the United States.

13. Changes to this policy

If we make material changes, we will update the date above and notify businesses that use Mándalo before the changes take effect.
